We’re reaching out to event managers across our platform with an important request: please review your upcoming events on our calendar. As we’ve integrated AI into our pre-publishing process, we need your expertise to verify that we’ve captured everything correctly before your events go live to the public.
We’ve implemented artificial intelligence technology to streamline how events appear on our calendar. This system automatically processes event information, formats listings, optimizes images, and prepares everything for publication. The goal is to get your events in front of audiences faster and more efficiently than ever before.
However, AI is only as good as the data it receives and the checks we build into it. That’s why we’re asking you, the event managers who know your events best, to be our essential quality control partners during this transition.
When you log into your event management dashboard, you’ll see your events as they’ll appear to potential attendees. We’re asking you to verify several critical elements:
Event Details and Dates: Confirm that dates, times, and time zones are correct. Check that recurring events are scheduled properly and that any date changes you’ve submitted have been processed accurately.
Venue Information: Review location details including addresses, venue names, and any special instructions for attendees. For virtual events, ensure that platform information and access details are correct.
Images and Visual Assets: Our AI system processes and optimizes images for different display formats. Please verify that your event photos look right, are properly cropped, and accurately represent your event. Let us know if images appear distorted, incorrectly sized, or if the wrong image has been associated with your event.
Descriptions and Content: Check that event descriptions, speaker information, agenda details, and any special notes appear as intended. While our AI works to preserve your formatting and emphasis, occasional adjustments may need human review.
Pricing and Registration Information: Verify that ticket prices, registration links, and purchase information are accurate and functional.
Your events deserve to be presented accurately and professionally. Incorrect information doesn’t just frustrate potential attendees, it can lead to lost ticket sales, damaged reputations, and customer service headaches that neither of us wants to deal with.
By catching errors during the pre-publishing phase, we can make corrections quickly and painlessly. Once events are live and being shared across social media, email campaigns, and third-party platforms, corrections become more complicated and may not reach everyone who saw the original information.
We’ve made the review process as straightforward as possible. You’ll receive notifications when your events have been processed by our AI system and are ready for review. Simply log into your account, navigate to your event dashboard, and look for events marked “Ready for Review.”
For each event, you’ll see a preview showing exactly how it will appear to the public. If everything looks correct, you can approve the event with a single click. If you spot issues, you can flag specific problems or make edits directly. Our system will reprocess any changes and return the event to you for final approval.
Our AI pre-publishing system is continuously improving based on the feedback we receive from event managers like you. When you flag an issue, whether it’s a formatting quirk, an image processing problem, or a data interpretation error, you’re helping us refine the system for everyone.
We’ve already made significant improvements based on early feedback, including better handling of multi-day events, enhanced image cropping algorithms, and more accurate processing of venue information. Your continued input is invaluable as we work to make this system as reliable and helpful as possible.
If you encounter any issues during the review process or have questions about how our AI system works, our support team is here to help. We’ve also created detailed guides and video tutorials showing you how to navigate the review process efficiently.
We understand that adding another step to your workflow isn’t ideal, but we believe this review process ultimately saves you time by preventing post-publication corrections and the confusion they create.
Our vision is to create a seamless partnership between AI efficiency and human expertise. The technology handles the technical heavy lifting, processing data, formatting listings, optimizing images, while you provide the critical judgment about accuracy and appropriateness that only event managers can offer.
As our system learns and improves, we anticipate that the review process will become faster and that you’ll need to make corrections less frequently. But your role as the final authority on your events will always remain essential.
Thank you for taking the time to review your events and help us ensure that our calendar provides accurate, reliable information to the audiences you’re working to reach. Your attention to detail during this pre-publishing phase makes all the difference in delivering a quality experience for everyone involved.
